Run Your 2025 Instructor Updates with Hovn

2025 Instructor Updates are a perfect use-case for Hovn because they:

  • Deliver the blended learning requirement

  • Store the Update Completion Certificate on each instructor’s profile

  • Get your instructors inside Hovn as active users

  • Give everyone a consistent, trackable workflow

Once an instructor completes the update:

  • A Certificate of Completion can be issued in Hovn

  • Their completion record stays on their profile for compliance visibility


Step 1 — Create Your Materials

You need two Materials:

  • The official 2025 Instructor Update Material

  • (Optional) A “Submit Certificate” Material (a mailto-link Material)

For Instructor Updates, you must ensure keycodes are available if you plan to issue the online access directly.


1. Add the official 2025 Update Material

This Material already exists in the Hovn Material Catalog.

  • Go to Materials

  • Search for: 2025 + the discipline name

Example: 2025 BLS Instructor Update

  • Select the Material that includes:

    Instructor Update & Course Orientation Bundle

  • Set Price to 0

  • Click Save

Important: Add Keycodes

You must provide the keycodes for the online Instructor Update.

  • Open the Material you just added

  • Click + Keycodes

  • Copy/paste your Instructor Update keycodes from Training Central

  • Save

This ensures Hovn automatically delivers the keycode when instructors register.


2. Create the optional “Submit Certificate” Material

Add this only if you want instructors to email you their completion certificate.

Material Setup

  • Material Name: Submit Update Certificate

  • Type: Link

  • Price: 0

  • Tax Code: Use Stripe Preset

  • SKU: Leave blank

  • Link: mailto:YOUR_EMAIL_HERE

Instructions

Final Required Step: Submit Your Completion Certificate

  • Download your certificate from Learning Central

  • Click the link above to email it to your Training Center Coordinator

  • Use the subject line: “2025 Instructor Update – [Your Name]”

  • Keep a personal copy for your records


Step 2 — Create the 2025 Instructor Update Course

All instructor update courses already exist in the Course Catalog.

  • Go to Courses

  • Click Add Course

  • Select: 2025 + discipline + Instructor Update

  • Set Price to 0.00

  • Click Create


Attach Materials

Attach:

  • 2025 Instructor Update & Course Orientation Bundle

  • Submit Certificate Material (if used)

Set both to:

Required (Bundled, Non-Waivable)


Seats

Use a high limit (for example, 25+).

These sessions are administrative, not physical classroom events.


Public vs. Private

Set the Course to Private.

You will distribute the course link directly to instructors.


Publish the Course

Move from Draft → Published, then click Save.


Step 3 — Schedule Your Sessions

You only need enough sessions to cover your instructor count.

Example: 75 instructors → 3 sessions of 25 seats


How to Schedule

  • Go to Sessions → New Session

  • Select the 2025 Instructor Update course

  • Location: TBD

  • Session Visibility: Public

    • Even if the course is private

    • This allows one course link to show all sessions

  • Instructor: Select the person responsible for checking certificates

  • Date/Time: Set it to your completion deadline


Course Private + Sessions Public

This setup lets you:

  • Keep the course off your public site

  • Share a single link that shows all available sessions


Step 4 — Adding Instructors Into the Course

There are two ways to add instructors.

Option A — Send the Course Link

  • Go to Courses

  • Copy the course link

  • Email it to instructors

  • They self-register, choose a session, and receive confirmations


Option B — Manually Register Instructors (recommended)

  • Open a session

  • Click + Booking

  • Enter the instructor’s details

  • Click Confirm

This:

  • Sends the confirmation email

  • Adds the course to their portal

  • Activates automated reminder emails (7 days and 1 day before the deadline)


Step 5 — Monitoring Completion & Progress

Instructors who access the materials will appear in the Materials view.

You can see:

  • Who accessed the Update

  • When they accessed it

If instructors complete the online Update through Training Central, you can:

  • Download completion certificates

  • Or wait for submitted files

  • Then attach them inside Hovn


Step 6 — Issue the 2025 Completion Certificate

Important

  • Instructor Updates do not use eCard integration

  • You issue Completion Certificates, not eCards

  • These certificates attach directly to the instructor’s profile


To Issue a Certificate

  • Go to the Session

  • Click Certifications

  • Enter the completion code from their certificate

  • Upload the PDF (recommended)

  • Click Submit

Hovn will:

  • Add the certificate to their profile

  • Apply a 3-year expiration

  • Email a confirmation to the instructor


Where to Attach PDF Certificates

Inside the Session

  • Open the session

  • Go to Files

  • Upload the certificate

Inside the Instructor Profile

  • Go to Bookings

  • Select the reference number

  • Click Go To Student

  • Go to Files

  • Upload the certificate
