Connect your American Heart Association (AHA) eCard inventory to Hovn so you can issue certifications directly from the platform—without double entry or manu

Use this guide to connect your AHA eCard inventory to Hovn and set up the right permissions for issuing certifications.

Who this is for: Service Provider Admins and Owners


Outcome:

  • Your AHA Card Bank is connected

  • Issuers are assigned correctly

  • Instructor Agency IDs are in place

  • You can issue eCards from one or multiple banks


Why Connect Your AHA Card Bank?

A Card Bank links Hovn to your AHA eCard inventory at ecards.heart.org. Once connected, Hovn can issue certifications using the inventory you already manage.

This helps you:

  • Avoid double entry and errors

  • Keep rosters and records in one system

  • Support multiple alignments (Training Center, Training Site, Instructor-owned inventory)

Good to know: Issuing permissions are set per bank. Anyone added as an Issuer can issue from every bank they’re assigned to.


Before You Begin

Make sure you have:

  • Admin access to your Hovn Service Provider account

  • Your AHA Training Center ID

  • The correct Requester Key, based on who owns the inventory:

    • Training Center inventory → key from the TC Coordinator

    • Training Site inventory → key from the TS Coordinator

    • Instructor inventory → key from that instructor

  • AHA Instructor IDs added to the profiles of anyone who will issue certifications


Step 1 — Create an AHA Card Bank

  1. Go to Settings → Card Banks → Create

  2. Choose AHA eCard API

  3. Name the bank clearly so your team recognizes it, for example:

    • AHA — Training Center Inventory

    • AHA — Training Site Inventory

    • AHA — Instructor Jane Doe


Step 2 — Choose Inventory Source & Add API Key

In the Card Bank form, enter:

  • TC ID: Your AHA Training Center ID

  • Requester Key: Generated by the owner of the inventory

  • Inventory Source: Select Training Center, Training Site, or Instructor to match the key

Step 3 — Assign Issuers

By default, Admins can issue from a bank.

To let an instructor issue:

  1. Open the Card Bank

  2. Click Add Issuer

  3. Select the instructor

If an instructor issues from their own inventory, create a separate bank using their Requester Key and add them as the Issuer on that bank.

Rule of thumb: Issuers can issue from every bank they’re assigned to—assign carefully.


Step 4 — Add Agency IDs (Required)

Every issuer must have their AHA Instructor ID on their Hovn profile.

To add an ID:

  1. Click your name → Profile

  2. Scroll to Agency Identifications

  3. Add American Heart Association

  4. Enter your AHA Instructor ID (from Atlas)

  5. Save

⚠️ Don’t see “Agency Identifications”? Make sure the user is set as an Instructor.


Common Setup Scenarios

Let selected instructors issue from your TC bank

  • Connect the TC bank

  • Add chosen instructors as Issuers

  • Confirm each instructor’s AHA ID is on their profile

Training Site inventory

  • Connect the TS bank

  • Add the right instructors as Issuers

  • Keep names and permissions site-specific

Instructor issues from their own inventory

  • Instructor generates the Requester Key

  • Create a bank with Instructor as the source

  • Add the instructor as an Issuer on that bank

  • (Optional) Remove them from other banks to avoid mistakes

Multiple alignments (TC + TS + Instructor)

  • Connect each bank with clear names

  • Assign Issuers only to the banks they should use

  • Issuers choose the correct bank at issuance time


Security & Naming Tips

  • Treat Requester Keys like passwords—store securely and rotate if needed

  • Use clear, descriptive bank names (include TC/TS/Instructor and owner)

  • Follow least-privilege access: only give issuer rights where needed

  • Remove issuer access promptly when roles change


Troubleshooting

An instructor can't see the "Assign Cards" option

Check two things: Are they added as an Issuer on that specific card bank? And do they have their AHA Instructor ID on their Hovn profile under Agency Identifications? Both are required.

Error: "No disciplines aligned for the user"

This error means the American Heart Association (AHA) could not find the instructor’s discipline alignment at the inventory level your card bank is pointing to.

In most cases, this is caused by a mismatch between how the instructor is aligned in ATLAS and how your card bank is configured in Hovn.

Common Causes & Fixes

Training Site ID Is Missing (When It’s Required)

What’s happening:

Your instructor inventory is aligned to a Training Site (TS) in ATLAS, but your card bank in Hovn does not have a Training Site ID entered.

When this happens, the AHA checks at the Training Center (TC) level, does not find the instructor there, and returns this error.

Fix:

Add your Training Site ID (starts with “TS”) to the card bank in Hovn.


Training Site ID Is Entered (When It Shouldn’t Be)

What’s happening:

Your instructor inventory is aligned directly to the Training Center (TC) in ATLAS, but your card bank in Hovn has a Training Site ID entered.

The AHA then checks at the Training Site (TS) level, does not find the instructor there, and returns this error.

Fix:

Remove the Training Site ID from the card bank in Hovn.


Instructor Is Missing Discipline Alignment in ATLAS

What’s happening:

The instructor has not been assigned the appropriate disciplines under the Training Center or Training Site in ATLAS.

Fix:

Contact your Training Center to confirm the instructor’s discipline alignment in ATLAS.


How to Verify Alignment

  1. Log in to atlas.heart.org.

  2. Locate the instructor’s record.

  3. Confirm whether they are aligned:

    • Directly to the Training Center (TC)

    • Or to a Training Site (TS) under the Training Center

Your card bank configuration in Hovn must match that alignment exactly.

Error: "Please provide valid TS ID Number"

If you receive this error, it typically means the Training Site (TS) ID entered in Hovn does not match the ID on file with the American Heart Association (AHA).

Verify Your Training Site ID

  1. Log in to atlas.heart.org as the Training Site Coordinator (TSC).

  2. Locate your official Training Site (TS) ID.

  3. Confirm that the TS ID in ATLAS matches the one entered in Hovn.

If you are not the Training Site Coordinator, please contact your Training Site directly to obtain the correct TS ID.

Recently Changed Training Centers?

Another common cause of this error is a recent alignment change, such as moving from one Training Center to another (e.g., Training Center A → Training Center B).

If you have recently switched alignments:

  • Your Training Site ID may have changed.

  • You will need to contact American Heart Association (AHA) Customer Service to confirm and update your correct TS ID.

Once you have the updated TS ID, enter it into Hovn and try again.

If you continue to experience issues after verifying your ID, please contact Hovn Support and include your Training Site name and TS ID so we can assist further.

Other inventory loading errors

If the error is not the "No disciplines" message, confirm the Inventory Source (TC, TS, or Instructor) matches who generated the Requester Key. If they don't match, the bank won't connect. Delete the bank and recreate it with the correct source and key.


Purchasing eCards

  • eCards are purchased directly through your Training Center or Training Site (outside Hovn).

  • They load inventory into the appropriate bank based on your agreement.
