Invite Instructors

Learn how to invite instructors to Hovn, set the right permissions, and connect your teaching team so they can run classes and submit rosters in one system of record.

Overview

Inviting your instructors brings your entire teaching network into Hovn. When every instructor teaches and submits rosters through the platform, you get one source of truth for sessions, rosters, and certifications—no double entry and no lost paperwork.

Your goal: Every instructor who teaches for you (or in your network) should have a Hovn profile.


Why This Matters

  • Keep all classes, rosters, and certifications in one place

  • Reduce manual work and follow-ups

  • Speed up certification workflows

  • Make collaboration easier with staff and independent instructors


How to Invite Instructors

  1. Go to Dashboard → Instructors

  2. Click Invite

  3. Enter the instructor’s Full Name and Email Address

  4. Choose Can Manage Sessions:

    • Yes — Instructor can create and manage sessions and submit rosters

    • No — Instructor teaches sessions you create and submits rosters for those

  5. Click Send Invite

  6. The instructor receives an email titled “You’ve been invited to join Hovn.”

  7. They click Accept Invite to create their account

  8. In your list, their status shows Invited until they accept, then changes to Active


Managing Permissions

  • Change access later:
    Open the instructor’s profile → Permissions → toggle Can Manage Sessions

  • Remove access:
    Open the instructor’s profile → click Revoke


Enabling Certification Issuing (Optional)

If an instructor needs to issue certifications:

  1. Go to Settings → Card Banks

  2. Select a card bank

  3. Click Add User as Card Bank Issuer

  4. Choose the instructor → Save


Best Practices

  • Invite everyone in your network. Any instructor teaching under you or submitting rosters should be in your account.

  • Encourage roster submission. Instructors handling rosters directly saves admin time and speeds up certifications.

  • Support independent instructors. If they run their own business, they can use a Service Provider account and still collaborate with you.

After inviting your instructors:

  1. Review permissions in Roles & Permissions

  2. Send them the Instructor Quick Start Guide so they can:

    • Complete their profile

    • Add Agency IDs

    • Add instructor certifications

  3. Encourage all instructors to submit rosters through Hovn


FAQs

The instructor didn’t get the invite email.
Ask them to log in at hovn.app/login with the invited email, and they will be prompted to accept their invitation.

Can instructors create courses or materials?
No. Admins create courses and materials. Instructors can manage sessions, rosters, and issue certifications (if permitted).

What happens if I revoke an instructor?
They lose access to your organization but remain linked in the system for record-keeping.
