How to Enter Grades on the Session Roster

Learn how to enter pass/fail or percentage grades on a session's Roster tab—one student at a time, with Copy down, or for several selected students at once—and save the roster.

Overview

After class, enter each student's scores and outcomes on the session Roster tab. You can grade students one at a time in the table, copy a grade down to the rows below, or select several students and apply the same grades at once.

Available for: Service Provider Admins and Instructors with session management permissions.


Before you start

  • Open the session and go to the Roster tab.

  • The roster shows active students only—canceled bookings do not appear.

  • Graded fields come from your course's class segments (for example a written exam, skills check, or final result). If the course has no graded segments, you will not see grade fields.

  • Changes are not stored until you click Save. Use Reset to discard unsaved edits.


Grade one student at a time

Step 1: Open the roster

  1. Go to Sessions, open the session, and click the Roster tab.

Step 2: Enter results

  1. Find the student in the table.

  2. In the Result column, complete each class segment for that student.

  3. For Pass/Fail segments, choose Incomplete, Pass, or Fail.

  4. For percentage segments, enter a numeric score.

Step 3: Save

  1. Review your entries, then click Save at the bottom of the roster.

Tip

When several students in a row share the same grade, click into a grade field and use Copy down to fill every student below that row for the same segment.


Grade several students at once

Use this when many students need the same outcome—for example, everyone passed the written portion of the class.

Step 1: Select students

  1. On the Roster tab, use the checkboxes on the left to select the students you want to update.

  2. When at least one row is selected, a bar appears at the bottom showing the count, Select all, and Set Grades.

  3. Click Select all in the bottom bar to select every student on the roster.

Step 2: Apply grades

  1. Click Set Grades.

  2. In the dialog Set grades for X student(s), enter a value for each class segment you want to fill. Leave a segment blank to skip it.

  3. Click Apply grades for X student(s), or Cancel to close without changes.

The roster table updates on screen. You will see a confirmation message reminding you to click Save.

Note

Applying grades to multiple students overwrites existing values on the selected rows for any segment you fill in. Leave a segment empty in the dialog if you only want to update some fields.

Step 3: Save

  1. Review the Result column, then click Save.


Example scenario

Twenty students attended a BLS skills session. Everyone passed the online portion with the same score. Open the session Roster tab, click Select all, choose Set Grades, set the online segment to Pass, click Apply grades for 20 students, then Save. Enter skills-check results individually for the few students who need a different outcome.


Troubleshooting

I do not see grade fields on the roster

Your course may not have graded class segments configured yet. Grade fields appear only for segments with a pass/fail or percentage rubric. Ask your admin to review the course setup if you expected to record outcomes here.

Set Grades is disabled

Select at least one student using the row checkboxes. Set Grades also requires at least one graded class segment on the course.

My grades disappeared after I refreshed the page

Grades are only stored after you click Save. Watch for the unsaved-changes indicator near the Save button before leaving the page.

No grades were applied in the dialog

Enter a value for at least one class segment before clicking Apply grades. If every segment is left blank, Hovn shows No grades were applied and closes without changes.

A student is missing from the roster

Canceled bookings are hidden from the roster. Add or restore the booking on the Bookings tab first, then return to Roster to enter grades.
