Managing Contact Information Visibility

Control which contact methods appear on your public registration pages and how students and clients can reach you.

Overview

Control which contact methods appear on your public registration pages. You can choose to show or hide your phone number, email address, location, and contact form to customize how students and clients reach you.

Available for: Service Provider Admins


What You Can Do

Choose which contact information is visible to visitors on your public pages:

Show or Hide Phone Number

Display your support phone number on your public pages, footer, and contact page.

Show or Hide Email Address

Display your support email address on your public pages, footer, and contact page.

Show or Hide Contact Form

Enable a "Contact Us" button that opens a form for visitors to send you messages directly through Hovn.

Show or Hide Location

Display your primary location address on your public pages, footer, and contact page with an embedded map.


How to Configure Contact Visibility

  1. Navigate to Settings

    • Go to your admin dashboard

    • Click on Settings in the left sidebar

    • Select the General tab

  2. Locate Contact Visibility Section

    • Scroll down to the Contact Visibility section

    • You'll see four toggle switches for different contact methods

  3. Toggle Your Preferences

    • Show Phone Number — Turn on to display your contact phone number

    • Show Email Address — Turn on to display your contact email address

    • Show Contact Form — Turn on to enable the contact form button

    • Show Location — Turn on to display your primary location address

  4. Save Your Changes

    • Click the Save button at the top right

    • Your changes will immediately apply to your public pages


Important Notes

  • At Least One Method Required:

    • You must keep at least one contact method enabled so visitors can reach you

    • The system will prevent you from disabling all contact methods

  • Contact Information Must Be Set:

    • To show phone or email, you must first enter them in the General Settings

    • To show location, you must have a primary location configured

  • Contact Form Details:

    • When enabled, a "Contact Us" button appears on your public pages

    • The form opens in a modal window for easy access

    • Visitors can select from predefined topics like "General Question," "Booking Question," "Certificate Question," etc.

    • Form submissions are sent to your contact email address

    • Students can optionally include booking reference numbers or order numbers for faster support

  • Where Visibility Applies:

    • Public registration pages (course listings)

    • Service provider information section

    • Footer on all public pages

    • Dedicated contact page

    • Mobile navigation menu


Example Use Cases

Scenario 1: Privacy-Focused Organization

You prefer not to display your phone number publicly to avoid spam calls, but want to provide email and form-based contact:

  1. Turn off "Show Phone Number"

  2. Turn on "Show Email Address"

  3. Turn on "Show Contact Form"

  4. Turn on "Show Location" (if you have a physical training center)

Result: Visitors see your email, can submit messages through the contact form, and see your location, but won't see your phone number.

Scenario 2: Phone-First Support

You prefer phone calls and want to minimize form submissions:

  1. Turn on "Show Phone Number"

  2. Turn on "Show Email Address"

  3. Turn off "Show Contact Form"

  4. Turn on "Show Location"

Result: Visitors see your phone number and email prominently, encouraging direct contact instead of form submissions.

Scenario 3: Online-Only Training Provider

You don't have a physical location and want to keep your address private:

  1. Turn on "Show Phone Number"

  2. Turn on "Show Email Address"

  3. Turn on "Show Contact Form"

  4. Turn off "Show Location"

Result: Visitors can reach you by phone, email, or contact form, but won't see a physical address or map.


Contact Form Features

When you enable the contact form, visitors can:

  • Select a Subject Category:

    • General Question

    • Reschedule Training

    • Booking Question

    • Order/Payment Question

    • Certificate Question

    • Other

  • Provide Their Information:

    • Name (required)

    • Email address (required)

    • Phone number (optional)

  • Include Reference Numbers:

    • Booking reference number (optional)

    • Order number (optional)

  • Write Their Message:

    • Minimum 10 characters

    • Maximum 2,000 characters

All form submissions are sent to your contact email address with the visitor's information and message.


Where Contact Information Appears

Your contact visibility settings control information display across multiple areas:

Public Registration Pages

  • Service provider information card

  • "Contact Us" button (when contact form is enabled)

  • Action links section

Footer

  • "Ways to reach us" section

  • Shows enabled contact methods (phone, email, location)

  • "Submit a message" link (when contact form is enabled)

Contact Page

  • Dedicated /contact page on your public site

  • Displays all enabled contact methods

  • Shows Google Maps embed with directions (when location is enabled)

  • Opens contact form modal (when contact form is enabled)

Mobile Navigation

  • Contact information in mobile menu

  • "Contact Us" link to contact page


Troubleshooting

I toggled a setting but don't see changes on my public page?

  1. Refresh your browser — Clear cache and hard refresh (Ctrl+Shift+R or Cmd+Shift+R)

  2. Check that information is entered — Phone/email visibility requires that you've entered those details in General Settings

  3. Verify primary location — Location visibility requires a primary location to be set

The contact form button doesn't appear even though it's enabled?

  1. Check your contact email — You must have a contact email configured in General Settings

  2. Verify the toggle is on — Ensure "Show Contact Form" is enabled and saved

  3. Look for the button — It appears as "Contact Us" on your public pages and "Submit a message" in the footer

Can I customize the contact form fields?

The contact form fields are standardized to ensure consistent support experiences. However, you can:

  • Use the subject categories to help route inquiries

  • Ask visitors to include booking or order numbers for faster support

  • Respond to form submissions with additional questions via email

I want to hide my address but still show a general location?

Currently, the location visibility is all-or-nothing.
