Overview

Add students to your classes one at a time with full control over materials, pricing, and payment options. The new manual booking dialog makes it easy to register students, select course materials, apply coupon codes, and manage payment requests before finalizing the booking.

Available for: Service Provider Admins


What You Can Do

The enhanced manual booking feature allows you to:

Student Information Management

  • Enter student details (name, email, phone)

  • Choose whether to send confirmation emails automatically

  • Request payment immediately or register students without payment

Material Selection Control

  • View available course materials with pricing

  • Select optional materials per student

  • Waive materials where applicable

  • See price updates in real time

Coupon Code Support

  • Apply discount codes during booking

  • View original and discounted prices side-by-side

  • Validate coupons before finalizing bookings

Review and Submission

  • Add multiple students to a review list

  • Edit or remove pending bookings

  • Confirm all bookings at once

Session Persistence

  • Pending bookings are saved automatically

  • Navigate away and return without losing work

  • Review sheet reopens with pending bookings


How to Add a Manual Booking

Step 1 — Navigate to Your Session

  • Go to Admin > Sessions

  • Select the session where you want to add students

  • Click the Bookings tab

Step 2 — Start Adding a Student

  • Click the Add Booking button (Plus icon)

  • The booking dialog opens

Step 3 — Enter Student Information

  • First Name (required)

  • Last Name (required)

  • Email Address (required)

  • Phone Number (optional)

Step 4 — Configure Notification Settings

  • Toggle Send confirmation email to email the student immediately

  • Toggle Send payment request to request payment

Step 5 — Select Course Materials

  • Review the list of materials

  • For optional materials, check the box to include them

  • For waivable materials, choose add or waive

  • Bundled and included materials are added automatically

  • Prices update automatically

Step 6 — Apply Coupon Code (Optional)

  • Enter a coupon code

  • The system validates codes in real time

  • Displays original and discounted prices

Step 7 — Add to Review List

  • Click Add to add the student to your pending bookings

  • Or toggle Create more to continue adding students

Step 8 — Review Your Bookings

  • Pending bookings appear in the review sheet

  • Use Edit to modify a booking

  • Use Remove to delete a booking

Step 9 — Confirm All Bookings

  • Click Confirm All Bookings

  • All students are registered at once

  • A success confirmation appears


Important Notes

Session Storage

  • Pending bookings save automatically within your browser session

  • Navigate away and return without losing them

  • Bookings clear when the browser is closed or confirmed

Material Pricing

  • Included materials — Always part of course price

  • Bundled materials — Automatically added

  • Optional materials — Student choice

  • Waivable materials — Can be waived per student

Coupon Codes

  • Validated in real time

  • Discounts apply to both course and materials

  • Original prices remain visible for comparison

Email Notifications

  • Confirmation emails send immediately when enabled

  • Payment requests send as separate emails

  • Both can be disabled for offline/manual registration

Seat Availability

  • The system checks seat availability before booking

  • Pending bookings count toward capacity

  • Warnings appear when nearing session limits


Example Use Cases

Scenario 1 — Walk-in Registration

A student calls to register for a class tomorrow:

  1. Open the session and click Add Booking

  2. Enter their information

  3. Enable Send confirmation email

  4. Select required materials

  5. Enable Send payment request

  6. Add → Confirm All Bookings

Scenario 2 — Corporate Bulk Registration

Register multiple employees:

  1. Click Add Booking

  2. Enter info and select materials

  3. Toggle Create more for the next student

  4. Repeat until all are added

  5. Apply a corporate coupon if available

  6. Confirm all bookings together

Scenario 3 — Student Already Has Materials

  1. Enter student info

  2. In materials, select Waive for owned items

  3. Price adjusts automatically

  4. Complete booking


Troubleshooting

Pending Bookings Disappeared?

  • Browser might have been closed; session storage clears on close

  • Click the review indicator to reopen

  • Ensure you’re in the same browser tab

Coupon Code Not Working?

  • Coupons are case-sensitive — check spelling

  • Verify the coupon is active

  • Confirm session eligibility

  • Check for any minimum requirements

Can’t Add More Bookings?

  • Session may be at capacity

  • Pending bookings count toward capacity

  • Sessions with a canceled status won’t accept new bookings

Materials Showing Incorrect Prices?

  • Refresh the page

  • Check for applied coupons

  • Confirm material pricing policy
